Vincere to HubSpot
Vincere is an all-in-one recruitment agency platform that combines an ATS and a CRM. It covers candidates, contacts, companies, jobs and placements.
Vincere data can move into HubSpot, landing mainly in Sales Hub. 2 of 8 mapped objects move directly (Candidates and Contacts (client)); 4 items need manual work and 3 do not move. Plan roughly 2-4 weeks for a small move and 8-16 weeks for a large one.

No price list: cost follows volume, custom objects and how much logic must be rebuilt. Answer four quick questions for a planning range.
The three scenarios
Small migration
<20k records
CSV-based; Contacts, Companies and Deals only.
Mid migration
20k-150k records
Includes notes, custom objects and pipelines.
Large migration
>150k records plus documents
API extraction, files, compliance review and a hybrid setup.
What moves the number
Timeline ranges are planning estimates, not a quote. A partner confirms scope after discovery.
Access, mapping and limits
Start with how data leaves Vincere: what you need to get in, what lands in HubSpot, and what will not.
REST (Vincere API; customers get access to the docs)
API access is enabled for customers. Confirm the exact credentials with Vincere support.
Super User (Administrator) or export rights are needed for CSV export. Data Export is under Settings.
Choose your route
How will you move the data?
No native connector was found.
- You need: API access is enabled for customers. Confirm the exact credentials with Vincere support.
- Permission: Super User (Administrator) or export rights are needed for CSV export. Data Export is under Settings.
Native imports often bring over only some data, so check coverage per object in the mapping below.
Export each object, clean it, then import it into HubSpot.
- Advanced Search > Export to CSV for Candidates, Contacts, Jobs and Companies. Super Users can export up to 5,000 records at a time.
- Settings > Data Export: custom reports with immediate or scheduled exports, delivered by download, SFTP or email.
- Job applications dataset: up to 100,000 rows per CSV.
- Full database export (SQL or CSV) via Vincere support. This is unconfirmed by Vincere docs; a third party reports CSV or backup delivery by download link or FTP.
Limits: To confirm
Migration and sync tools can move more than a plain import. Confirm which objects each one supports before you choose.
Best when volume is high, custom objects are many or automation is heavy. That is the Large scenario: 8-16 weeks, usually phased.

| Source object | In HubSpot | Moves | Notes |
|---|---|---|---|
| Candidates | Contacts | yes | Use a custom candidate-type property or a custom object to separate candidates from client contacts. |
| Contacts (client) | Contacts | yes | Associate to Companies using the Vincere company ID as a key. |
| Companies (clients) | Companies | partial | Full company list export is not supported; filter and export in batches or use the API. |
| Jobs (vacancies) | Deals | partial | Map to Deals or a Custom object. The API supports job search and custom fields. |
| Placements | Custom objects | partial | The API exposes placements. Consider a custom object or Deals. |
| Job applications | Custom objects | partial | The Application and Onboarding dataset exports to CSV. |
| Notes and comments | Notes | partial | Notes and attachments often get missed in standard exports. |
| Candidate documents/CVs | Files | manual | Needs separate file extraction. Attachments often fall through standard exports. |
What to expect
HubSpot has no equivalent. Keep these in Vincere or another ATS.
These are outside HubSpot's scope, so retain them in a payroll or compliance system.
The brief itself can't be exported. Only the Brief field can be exported as a CSV column.
HubSpot has no native candidate object.
Pipeline definitions don't transfer.
They are outside the CSV exports.
Custom field configuration is Vincere-specific.
Back up these items separately and spot-check records after import.
Migrate only candidates with a lawful basis and carry over consent and opt-out flags.
Use scheduled Data Export reports, the API, or ask Vincere support for a full export.
Export the Vincere IDs and store them as unique properties in HubSpot.

How we researched this page
How much to trust each section, and where it comes from.
Export paths (CSV, Data Export scheduler, SFTP) and the existence of an API are backed by Vincere help docs and third-party pages. I did not find a HubSpot doc on Vincere. Auth methods, rate limits and the object-to-HubSpot mapping rest on category-level knowledge.
