Gainsight to HubSpot
Customer success platform (CS, plus separate PX, Communities and Skilljar/Northpass education products) for health scoring, CTAs/playbooks, success plans, timeline and surveys.
Gainsight data can move into HubSpot, landing mainly in Service Hub. 2 of 8 mapped objects move directly (Company (customer account) and Person); 3 items need manual work and 2 do not move. Plan roughly 2-4 weeks for a small move and 10-20 weeks for a large one.
Migration checklist for Gainsight
Three phases, specific to this system. Tick steps off as you go.

No price list: cost follows volume, custom objects and how much logic must be rebuilt. Answer four quick questions for a planning range.
The three scenarios
Small migration
<5k accounts/people, <20k timeline entries
Simple scorecard; few playbooks.
Mid migration
5k-50k accounts/people, up to 250k timeline entries
Several scorecards and playbooks to rebuild.
Large migration
>50k accounts/people, >250k timeline entries
Many custom objects and integrations, phased cutover.
What moves the number
Timeline ranges are planning estimates, not a quote. A partner confirms scope after discovery.
Access, mapping and limits
Start with how data leaves Gainsight: what you need to get in, what lands in HubSpot, and what will not.
REST API plus async Bulk export API (custom object data in chunks)
Access key generated in Administration > Connectors 2.0, or an OAuth application with Read scope.
Gainsight Admin to generate access keys; SuperAdmin only for OAuth Applications.
A third-party report lists 100 sync calls per minute and 50,000 per day, with write calls capped at 50 records. Not verified in vendor docs.
Choose your route
How will you move the data?
HubSpot offers an integration for importing records from Gainsight.
- You need: Access key generated in Administration > Connectors 2.0, or an OAuth application with Read scope.
- Permission: Gainsight Admin to generate access keys; SuperAdmin only for OAuth Applications.
Native imports often bring over only some data, so check coverage per object in the mapping below.
Export each object, clean it, then import it into HubSpot.
- Bulk REST export of objects: submit job, poll status, fetch chunks
- Reports and CSV downloads from the UI
- Rules Engine / Connectors 2.0 jobs
Limits: A third-party report lists 100 sync calls per minute and 50,000 per day, with write calls capped at 50 records. Not verified in vendor docs.
Migration and sync tools can move more than a plain import. Confirm which objects each one supports before you choose.
Best when volume is high, custom objects are many or automation is heavy. That is the Large scenario: 10-20 weeks, usually phased.

| Source object | In HubSpot | Moves | Notes |
|---|---|---|---|
| Company (customer account) | Companies | yes | Does not map 1:1; design CS properties such as renewal date, CSM and ARR first. |
| Person | Contacts | yes | Dedupe against existing HubSpot contacts. |
| Timeline entries | Notes | partial | Vendors claim timeline entries and attachments can map to HubSpot engagements; verify truncation and attachments. |
| Health scores / scorecards | Companies | partial | Current values can go to custom properties; scoring logic must be rebuilt. |
| Success plans / CTAs | Tasks | partial | Open work can become Tasks; playbook logic is rebuilt as workflows. |
| Renewal dates / opportunities | Deals | partial | Often live in the CRM already. |
| NPS/CSAT survey history | Custom objects | partial | Could also be sent to Service Hub feedback surveys. |
| Custom objects (MDA) | Custom objects | partial | Exportable through the Bulk API by object name. |
What to expect
Configuration, not data; rebuild as HubSpot workflows and properties.
Separate products with separate APIs; usually kept alongside HubSpot.
Much configuration is outdated or undocumented.
No direct equivalent.
Gainsight is not primarily a KB system; confirm where the source content lives.
Keep a archived export and migrate only the latest scores and key history.
Use Bulk API jobs rather than sync calls.
Pause Load to HubSpot actions and sync jobs before the migration load.
Add the migration host IPs to the connection's allowed ranges.
Data governance and compliance
Decide what is allowed to move before anything is exported. Tick each gate once it is agreed.
How we researched this page
How much to trust each section, and where it comes from.
Access, auth and the export API are backed by Gainsight docs. Object mapping to HubSpot is partly category-level knowledge and vendor-marketing pages, because no HubSpot doc covers a Gainsight migration. Rate limits come from a third-party report.

Frequently asked questions
How do I migrate Gainsight to HubSpot?
1. Inventory the Gainsight objects (Company, Person, Relationship, custom MDA objects) and their GSIDs. 2. Document the Rules Engine, scorecards, CTA types and playbooks to be rebuilt. 3. Generate a Bulk API connection with an access key, or an OAuth app with Read scope, and allow-list the extraction IPs. 4. Decide per object whether it goes to Companies, Deals, Tickets or custom objects.
What data can move from Gainsight to HubSpot?
These objects move directly: Company (customer account) and Person. Check the mapping table for partial and manual items.
What does not move from Gainsight to HubSpot?
Rules Engine logic, playbooks and health score calculations and PX product analytics, Communities and Skilljar/Northpass education content. Plan to rebuild or retire these.
How long does a Gainsight to HubSpot migration take?
Small (<5k accounts/people, <20k timeline entries): 2-4 weeks. Mid (5k-50k accounts/people, up to 250k timeline entries): 4-10 weeks. Large (>50k accounts/people, >250k timeline entries): 10-20 weeks. These are planning estimates, not a quote.
What access do I need to export from Gainsight?
Access key generated in Administration > Connectors 2.0, or an OAuth application with Read scope. Gainsight Admin to generate access keys; SuperAdmin only for OAuth Applications.
Is there a native HubSpot connector for Gainsight?
